AIFC Authority is looking for a dedicated and organized Manager of Administrative Support (Reception) to deliver outstanding front-office and administrative services at the AIFC Complex. This role is critical in ensuring the smooth functioning of the reception area, delivering top-tier customer service, and supporting operational activities across the premises.
Required qualifications:
Bachelor’s degree, preferably in Economics, Finance, International Relations, or Management. Master’s degree is an advantage
1–3 years of experience in property, administrative, sales, finance, or related fields
Proficiency in Kazakh, Russian, and English
Responsibilities:
Welcome customers and guests to the AIFC Complex, ensuring a high standard of hospitality.
Provide information and respond to requests regarding the AIFC Complex and its facilities.
Maintain updated knowledge of ongoing developments by monitoring internal communication platforms.
Coordinate with security to validate and manage daily visitor lists.
Ensure prompt and professional handling of guest messages and correspondence.
Manage sub-lease agreements for coworking spaces and ensure accurate documentation.
Handle documentation workflow, including acts of rendered services and delivery of correspondence.
Organize reservations and key control for conference rooms.
Distribute and manage access cards and support event organization (meetings, conferences, etc.).
Collaborate with service providers (cleaning, maintenance) to ensure service delivery to clients.
Operate front-office equipment such as telephone systems, switchboards, scanners, alarms, and printers.
Support sales initiatives, including contacting potential clients and providing timely customer service.
Contribute to client satisfaction by offering efficient administrative assistance and developing positive relationships.
Ensure confidentiality of guest and client information.
Report safety concerns or suspicious behavior to the Manager of Property and security team.
Notify customers and employees about lost and found items, and adhere to AIFC health and safety protocols.
Follow emergency procedures and actively support a safe and secure building environment.
