The Personal Assistant (PA) to the Head of School provides high-level administrative and organizational support to ensure the smooth running of the Head of School’s office. The PA acts as a key point of contact for internal and external stakeholders, manages the Head of School’s schedule, and ensures that the Head of School is prepared for all meetings and activities. The role requires discretion, professionalism, and the ability to handle sensitive information with confidentiality.
Key Responsibilities:
1. Administrative Support:
- Manage the Head of School’s calendar, scheduling appointments, meetings, and events.
- Organize travel arrangements, including flights, accommodation, and itineraries for the Head of School.
- Prepare correspondence, reports, presentations, and other documents as required.
- Monitor and prioritize emails and communications, responding on behalf of the Head of School when appropriate.
- Maintain accurate and organized records and filing systems.
2. Meeting Coordination:
- Arrange and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
- Ensure the Head of School is well-prepared with all necessary materials for meetings.
- Liaise with internal staff, parents, board members, and external stakeholders to schedule and confirm appointments.
3. Communication:
- Act as a point of contact for the Head of School, handling inquiries with professionalism and discretion.
- Foster positive relationships with staff, parents, and the school community.
- Draft and edit communications on behalf of the Head of School.
4. Event Coordination:
- Assist with the planning and execution of school events, conferences, and ceremonies.
- Ensure the Head of School’s involvement in events is seamless and well-organized.
5. Confidentiality and Professionalism:
- Handle confidential and sensitive information with the utmost discretion.
- Maintain a professional demeanor in all interactions.
6. General Office Management:
- Ensure the smooth day-to-day operation of the Head of School’s office.
- Manage office supplies, equipment, and resources as needed.
- Perform other duties as assigned to support the Head of School and the school’s objectives.
Qualifications and Skills:
- Bachelor’s degree or equivalent experience in administration or a related field.
- Proven experience as a Personal Assistant or in a similar administrative role, preferably in an educational environment.
- Strong organizational and multitasking skills with attention to detail.
- Excellent written and verbal communication skills in English (additional languages are an advantage).
- High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other productivity tools.
- Ability to work under pressure and meet tight deadlines.
- Strong interpersonal skills and the ability to build relationships at all levels.
- Discretion, confidentiality, and a high level of professionalism.
- Fluent in English, Kazakh and Russian – ideally with translator experience
