Our Client is a large multinational FMCG Company with well-known brands.
Role: This role involves planning, orchestrating, and executing tasks to ensure that senior management priorities are met, organizational goals are achieved, and best practices are upheld.
Responsibilities:
- Plan, orchestrate, and execute work to align with senior management priorities and organizational goals.
- Manage the schedules and agendas of the Managing Director.
- Arrange travel, accommodation, itineraries, and all related correspondence; coordinate travel and entertainment expenses.
- Organize meetings, take notes, prepare memos, and follow up on actions to ensure priorities are met.
- Manage senior management expenses efficiently.
- Coordinate arrangements for various company events, meetings, luncheons, and employee team-building activities or special projects.
- Plan and organize team events for the Managing Director and his Management Team, ensuring successful execution and engagement.
- Manage the work of the personal driver of the Managing Director, including scheduling, route planning, and ensuring timely transportation.
- Prepare reports, presentations, and data; maintain files, records, and correspondence.
- Assist with special projects that require project management skills, including planning, execution, and monitoring of project timelines and deliverables.
- Coordinate communication and presentations to headquarters, including composing agendas, collecting presentations from management team members, and analyzing and checking their content for clarity and consistency.
Requirements:
- 8+ years of experience as an Executive Assistant or in relevant administrative support role.
- Strong time-management skills with the ability to coordinate multiple projects simultaneously.
- Proven project management skills, including the ability to plan, execute, and oversee projects from inception to completion.
- Professional verbal and written communication skills.
- Strong organizational skills with a proactive approach to problem solving.
- Ability to prioritize tasks and meet deadlines in a fast-paced, rapidly changing environment.
- Exceptional collaboration skills.
- Proficiency in email and calendaring (preferably Outlook); skilled in PowerPoint, Word, and Excel.
- Fluency in English.
