Vendor Communication: Act as the primary point of contact with vendors, request quotations, clarify product specifications, and follow up on responses using Email, WeChat, WhatsApp, and phone.
Relationship Management: Build and maintain professional relationships with vendors to ensure timely and effective communication.
Tender Support: Assist in gathering required vendor documents (e.g., brochures, catalogs, quotations, and authorization letters) and ensure they meet tender requirements.
Coordination: Work closely with the internal team to relay vendor responses, resolve queries, and ensure smooth information flow.
Documentation Management: Update and maintain accurate records of vendor communication in the database and provide regular updates on the status of vendor responses.
Process Adherence: Follow company guidelines for communication standards, document management, and timelines.
Adaptability: Learn and use communication tools and processes specific to the company to enhance efficiency.
Requirements:
Communication Skills: Exceptional written and verbal communication skills in English (B2 level minimum). Ability to communicate professionally with vendors and team members.
Follow-Up Skills: Proactive in following up with vendors and ensuring deadlines are met.
Organization: Strong organizational skills to track vendor responses and update records systematically.
Software Proficiency: Basic knowledge of Google Sheets, Excel, and email tools. Familiarity with Email, WeChat, or WhatsApp is a plus.
Attention to Detail: Ensure accuracy in communication, vendor documents, and database entries.
Flexibility and Willingness to Learn: Eager to learn new tools, techniques, and processes to improve communication efficiency.
