Marketing Project Manager Assistant

Purpose of the Role

We’re looking for a Marketing Project Manager Assistant — a highly organized, proactive professional who thrives in a fast-paced environment and helps keep multiple teams aligned, on time, and on target.

You’ll work directly with the Marketing Project Manager (and department leads) to manage deadlines, coordinate communication, track KPIs, and make sure no task slips through the cracks.

Key Responsibilities

• Support the Project Manager in daily operations across multiple projects and teams.

• Track deadlines, deliverables, and dependencies in tools like Notion, Asana, or Trello.

• Coordinate communication between marketing, design, and sales departments.

• Prepare and update project reports, task summaries, and KPI dashboards.

• Follow up with responsible team members to ensure timely delivery of tasks.

• Help maintain project documentation, briefs, and content calendars.

• Organize meetings, take structured notes, and ensure next steps are assigned and tracked.

• Suggest workflow improvements and identify bottlenecks before they escalate.

Requirements

• 1–3 years of experience in project coordination, operations, or team assistance.

• Strong organizational and time management skills.

• Excellent written and verbal English.

• Confident working with digital tools (Notion, Google Sheets, Slack, Trello, or ClickUp).

• Comfortable with numbers, tracking KPIs, and summarizing progress.

• Detail-oriented but able to see the bigger picture.

• Fast learner with a proactive “I’ll figure it out” mindset.

Nice to Have

• Background in marketing, creative production, or tech projects.

• Understanding of social media workflows or content pipelines.

• Basic knowledge of CRM or reporting dashboards.

• Experience supporting international or cross-functional teams.
