Executive Assistant – Role Roadmap
Position Title: Executive Assistant to the CEO
Work Arrangement: Hybrid (remote + in-person)
Reporting To: CEO (Entrepreneur managing multiple companies)
Role Overview
As the Executive Assistant to the CEO, you will act as a highly trusted, multi-skilled right hand, supporting both professional and personal responsibilities. You will ensure the CEO operates efficiently across multiple ventures and projects while actively contributing to the commercial development of the businesses. This is a strategic and operational role with a performance-based bonus component.
Key Responsibilities
Calendar & Scheduling
- Full management of the CEO’s agenda.
- Organizing appointments, handling priorities and conflicts, providing reminders and briefing documents.
Travel & Logistics
- Planning and booking all professional and personal travel (flights, hotels, transport, etc.).
- Preparing detailed itineraries and handling last-minute changes.
Meetings & Event Coordination
- Scheduling in-person and remote meetings.
- Preparing agendas, supporting materials, taking follow-up actions.
- Helping coordinate internal or external events.
Task & Project Support
- Managing ongoing task lists.
- Assisting with coordination, research, documentation.
- Supporting the CEO in ad hoc requests.
Personal Assistance
- Managing personal errands: appointments, reservations, domestic logistics.
- Ensuring smooth balance between professional and personal demands.
Sales & Business Development
- Actively participating in lead generation, outreach, follow-ups, and commercial prospecting.
- Representing the CEO’s businesses in a professional and engaging manner.
- Performance-based bonus applicable based on targets reached.
Confidentiality & Representation
- Handling all sensitive information with absolute discretion.
- Maintaining a professional image and behavior at all times.
