We have a representative office in Kazakhstan and are planning to recruit a new team member who will represent us in the market. We are looking for someone who will be responsible for office management.
Duties and Responsibilities:
- Office Administration: Ensure the office operates efficiently and effectively, manage daily office operations, and be responsible for the procurement of office supplies.
- Document Management: Organize, file, and archive incoming and outgoing documents. Ensure that necessary documents are delivered to the relevant parties on time.
- Phone and Email Management: Professionally manage incoming phone calls and emails, redirect as necessary, and convey important messages to the appropriate individuals.
- Visitor Reception: Greet visitors to the office, provide direction, and, if necessary, offer tea/coffee.
- Appointment and Meeting Management: Schedule appointments and meetings, prepare meeting rooms, and make the necessary arrangements.
- Invoice and Payment Tracking: Track incoming invoices, ensure payments are made on time, and forward relevant documents to the accounting department.
- Office Communication: Facilitate both internal and external office communication, supporting coordination among employees.
- File and Data Entry: Regularly file office documents, input data into electronic databases, and ensure this information is kept up to date.
- Office Equipment Maintenance: Maintain office equipment like printers and photocopiers and seek technical support when necessary.
- Other Supportive Duties: Fulfill additional tasks and responsibilities as assigned by management.
