Administrative Assistant to the Dean
Job Requirements:
Education:
Bachelor’s degree preferred.
Experience:
At least 2 years of administrative experience, preferably in a university or educational organization.
Experience supporting senior leadership is an advantage.
Skills:
Strong written and verbal communication skills.
High level of professionalism and ability to handle confidential information.
Excellent organizational and time management skills.
Confident in using Microsoft Office, Google Workspace, and online meeting tools (Zoom, Teams).
Able to work independently and as part of a team in a fast-paced academic setting.
Familiarity with university systems (e.g., PeopleSoft, Canvas) is a plus.
Duties and Responsibilities:
1. Communication & Coordination
Serve as a key contact between the Dean’s Office and faculty, staff, students, and external partners.
Assist with writing and formatting reports, presentations, and academic materials.
2. Office & Administrative Management
Maintain digital and physical records, including confidential files.
Order office supplies and coordinate the maintenance of office equipment.
Assist with budget tracking and purchasing processes.
3. Event & Project Support
Help plan and organize school events, academic conferences, and guest visits.
4. Faculty & Student Support
Assist with onboarding new faculty, including visiting and adjunct professors.
Support faculty evaluations and reporting tasks.
Respond to student inquiries and direct them to the appropriate contacts.
