We’re looking for a highly organized, self-driven, and business-minded assistant to support the company’s leadership team by handling travel logistics, meeting coordination, document workflows, and focused research. This is not a traditional “secretarial” role — we’re looking for someone who thinks like an internal COO at a micro level and brings informed opinions on how things should be done and why.
Responsibilities:
Organize international travel for executives: find optimal routes and hotels, arrange bookings, negotiate contracts with hotels, handle transfers, and build clear itineraries
Prepare meetings and materials: book venues and restaurants, coordinate participants, gather background on companies and partners, provide document templates
Handle documentation: track signatures, invoices, NDAs, ensure deadlines are met, complete forms, and assist with legal and visa-related processes (including residence permits, contracts, powers of attorney, etc.)
Maintain and organize internal information (Notion, Google Drive, CRM, etc.)
Conduct focused analytical research: identify partners, analyze markets, technologies, and competitors
Support leadership in recurring administrative and operational tasks
Light calendar management: spot scheduling conflicts and coordinate complex situations
Participate in weekly and monthly reviews: track completed tasks, new action items, upcoming events, and open issues
Requirements:
Proven experience as an Executive Assistant or Business Assistant
Fluent English (spoken and written)
Excellent organizational skills, attention to detail, and a high degree of autonomy
Ability to work with information: systematize, follow up tactfully, and keep processes moving
Strong proficiency with modern digital tools: Notion, Google Workspace, Slack, ChatGPT, DocuSign, etc.
Nice to have:
Experience in tech or B2B companies with international operations
Understanding of corporate communication, document workflows, and basic legal logic
Ability to operate at the pace of senior leadership without the need for micromanagement
