Nursery Administrator

REPORTS TO: Non-Teaching Manager

HOURS OF WORK: 8am to 6 pm

JOB PURPOSE: Responsible for all matters relating to current and prospective parents. Liaising closely with current parents on day to day issues. As well as dealing and organising prospective parents including all correspondence and visits etc.

DUTIES:

Admissions

· To work with the Non-Teaching Manager in organising termly admissions:

. To handle leads, customer requests

. Conduct tours of the clients at the nursery

o Written acknowledgement of all registrations.

o Processing registrations including dealing with fees, and data entry.

o Monitoring availability by maintaining running spreadsheets.

o Discussing requirements (taking into account changes to existing parents’ changes to attendance patterns).

o Issuing offers letters to Parents.

o Processing acceptances including dealing with deposits, and data entry

o Organising pre visits for all Nursery children. Including all pre start paperwork including reports and safeguarding feedback. o Issuing welcome packs and starter paperwork.

Control and coordination of educational programs in Russian and English.
- Monitoring the quality of education and individual development of children.
- Interaction with parents on the issues of the educational process and the progress of children.
- Assistance to the director in managing the day-to-day activities of the garden.
- Scheduling classes and monitoring their implementation.
- Organization of events, holidays and educational programs.
- Maintenance and control of documentation, reports and attendance logs.
- Ensuring compliance with all safety regulations and standards.
- Coordination of the work of teachers and educators, distribution of responsibilities.
- Holding meetings and trainings for employees.
- Assistance in the selection and adaptation of new employees.
- Support for effective interaction with parents, organization of parent meetings.
- Resolution of emerging issues and problems between parents, children and staff.
- Prompt resolution of administrative and organizational issues.
- Control of payment for kindergarten services.

**Requirements:**
- Higher education.
- Work experience of at least a year;
- Knowledge of English and Russian languages at a high level.
- Organizational skills and ability to work in a team.
- Responsibility, initiative and attention to detail.

Administration

· Maintain records of all children including health, allergy information etc.

· Work with the Non-Teaching Manager to produce half termly invoicing.

· Report maintenance issues/events arise.

· Produce daily named lunch report slips.

· Work with the Non-Teaching Manager and Nursery Leader to organise school outings e.g. Booking transport, monitoring parent helpers with regard to DBS etc.

· Be involved in the organisation of events through the year e.g. Mothers’ Day Tea, Sports Day, Winter Concert, End of year Parade etc.

· Work with the Nursery Leader to create end of year reports and collation of data information.

· Attend two Open Days it can be on Saturdays

· Maintain children files.

· Take and relay messages to the Nursery team, in a timely fashion.

· Manage office diary in relation to visits and tours.

· Confirm visits for prospective parents and new starters.

· Attend regular staff meetings; taking minutes agreeing these with the Nursery Leader then distribute as appropriate.

· Facilitate Classroom transition letters.

· Provide Headmistress with new starter information.

  • Post daily stories in social media
  • Work with CRM system
  • Bring all the incoming leads into the spreadsheets
  • Follow up all the potential clients systematically until signing the contract

· Monitor and report any cleaning issues to the Domestic Services Manager.

Person Specification Qualifications/ Experience The Nursery Administrator should have previous experience, preferably in a Customer focused role.

Skills The Nursery Administrator should:

· promote the school’s aims positively and use effective strategies to monitor motivation and morale;

· communicate effectively (both orally and in writing) to a variety of audiences;

· be PC literate, especially in Microsoft Word and Excel,

· be able to interact appropriately with a wide range of stakeholders, including staff, students, parents and third parties;

· be able to think and act independently;

· be a team player;

· be well organised with an attention to detail; and

· be able to think and work quickly and calmly in a demanding environment.
