• Participate in HR& Administrative weekly meeting.
• Register and meet visitors (coffee/tea/water).
• Timely off-rotation time tracking/control for the foreign employees.
• Timely inform all involved personnel in HR/Admin department on organization of work/ business trips/ travels for Local
and foreign personnel.
• Continuously work with renters’ representatives (for the foreign personnel) on settling issues regarding terms of res-
idence, deal with maintenance problems, claims concerning the level of service and consider relevant proposals.
• Manage the booking of travel arrangements, including purchasing tickets and reserving hotels for employees during
business trips. Ensure all logistics are organized efficiently, adhering to company travel policies and budget guide-
lines.
• Provide the necessary assistance to company employees.
• Manage and perform office administrative work, coordinate maintenance work in the office and residential buildings
of the company.
• Take part in arranging and conducting conferences, exhibitions and company events
• Work with Suppliers in providing office with stationary, water supply, food and etc.
• Prepare Purchase Order.
• Track Purchase Orders through the Delivery phase, including Expediting, Logistics and Delivery.
• Timely update the arrival/departure calendar on a weekly basis.
• Timely advise on any changes associated with business trips (business trip, off-rotation period, arrival, departure,
include new persons into the Arrival/Departure Calendar, etc.).
• Conduct work to update scientific-methodical support for the human resources work, equipment with material and
technical, informational support, to implement modern personnel management techniques with use of computer sys-
tems, set up database on company personnel, provide its timely updating, quick response for the needed information
to users.
• Ensures proper support of company vehicles.
• Organizes timely transport operation according to approved schedule of vehicular traffic in working order.
• Control driver’s schedule
• Prepares report of combustive-lubricating materials consumption.
• Constantly improve professional skills.
• Take part in the arrangement and conducting of company events.
• Knowledge of computer based systems including, Excel, Word, Power Point or equivalent software packages.
• Be proactive, a self-starter and ability to work without supervision.
• Systematic thinker and good organizational skills/ time management.
• Experience in administration, logistic and HR.
• Ability to prioritize and attend to multiple assignments.
Education: Bachelor degree is minimum requirement
Language skills: Russian and English are mandatory.
Professional experience: Min 2 – 4 years
